Principal Accountabilities

  • To provide support services for all client sales made by the Wealth Advisers, to ensure 100% compliance with the FCA regulations on the conduct of business and 100% compliance with the company’s internal administrative requirements. This will include 100% compliance with the company’s system recording requirements, using Intelligent Office database system.  Experience with Intelliflo is therefore essential to the role.
  • To support the Directors in their advisory work with clients, including the collation of information, the obtaining of illustrations, the production of standard letters to clients and providers. NB You will not be required to give advice in your job role but will be required to ensure that all customer needs are satisfied to the best of your ability.

Principal Accountabilities

You will provide:

  • Accurate and efficient administration of both paper and system-based records, including email.
  • Production of standard Intelliflo report, including the scanning and documenting of these in paper and system form, within a time frame agreed with the Administration Manager and in line with the annual review service
  • Production of reports and quarterly product/fund research reports, working in conjunction with the Administrator Manager and Paraplanner on a quarterly basis, as agreed within the review program, which will be your responsibility to arrange and ensure the deadlines are met, prioritising with Administration Manager as agreed.
  • An in-depth knowledge of the products and services that we offer and any regulatory or taxation rules which may affect the advice and to use continued professional development to keep this knowledge current and up to date.
  • A monthly task list to show the Administration Manager the work in progress and its current status.
  • Submitting draft portfolio to Adviser within agreed timescale and diarising the return of the portfolio is delivered on time. Amending errors, if identified by the Adviser and finally binding document, delivering within agreed timescale.
  • Printing and reconciling valuations on Intelliflo and updating the system as required
  • Excellent organisation, communication and numeracy skills both written and oral. Ability to work accurately under pressure of tight deadlines. Ability to prioritise tasks and remain calm under pressure. Willingness to accept responsibility and display initiative.
  • The diligence to read and review, as prescribed by the Administration Manager any compliance documentation, i.e. Money laundering, Whistle Blowing, Data Protection etc. and must sign the firms Staff Declaration annually.
  • The diligence to keep up to date with any changes or if you become aware of any working practices which may need improving inform us, to help us to continue to fully embed TCF within our business model and cascade this to staff in the team and management alike.
  • Be adept at processing new and existing life and pension business including ISAs, Investment Bonds, OEICs, SIPPs and Trusts, entering all aspects of new business on Intelliflo, to include commission and also to ensure that where a transfer has taken place this is entered onto the Switch register.
  • Provide full administrative support to the Administration Manager to deal with ongoing and technical queries as and when they arise, working within the achievable deadlines set out.
  • Not exhaustive but to include assisting the Administration Manager with meeting preparation, ensuring that all aspects are brought together from other team members, Client pack, Valuations, Proposal forms, key features etc. Completing any proposals in advance of the meeting.
  • Building client relationships to enhance the client’s belief and trust in the company and our aims as a business to treat all customers fairly, by ensuring that all queries and requests from clients are acted upon in a timely manner and attention to detail is always upheld, thereby reducing errors and omissions.
  • Dealing with all client queries including valuations, policy information and transfers and client invoicing and chasing aged debtors.
  • Setting up and working on templates and procedures and have an excellent working knowledge of the back-office systems for all client implementation, inputting data from Fact Finds and proposal forms onto back office, to ensure that client records are kept as up to date and transparent as possible.
  • To have considerable contact, both client facing and over the telephone and therefore must be both presentable and confident in this role. Excellent communication and interpersonal skills are imperative.
  • Whilst working from your own initiative, you will work closely with the Administration Manager to agree work deadlines and objectives; however, you must be capable of prioritising workloads and delivering on agreed deadlines, within the task module on Intelliflo. The diary must be kept up to date at all times. To be able to use initiative to deal with problems as they arise and take ownership, until resolved as far as possible without the intervention of the Administration Manager.
