Job Title: Office Administrator

Salary: up to £25,000 depending on experience

Location: Crawley

Hours: Monday – Friday 9am – 5.30pm

Job Description

Our client is looking for an Office Assistant to join their company based in Crawley to join their friendly Administration team. The role will provide wide‐ranging administrative support to ensure the smooth running of their very busy office. The team is responsible for a wide range of business functions so there is a variety of work to do on a day‐to‐day basis.

Role and Responsibilities:

Office Support:

  • Answering external and internal telephone calls
  • Ordering office lunches
  • Managing post and deliveries
  • Reception duties
  • Ordering supplies
  • Looking after visitors to the office
  • Looking after email boxes
  • Data entry

Sales administration:

  • Database management; maintaining customer/supplier records
  • Processing sales enquiries
  • Sending out maintenance contracts and issuing new contracts

Travel Assistance:

  • Booking travel arrangements: flights, hotels etc.

Facilities Assistance:

  • Looking after building maintenance and facilities
  • Ensuring all equipment is serviced and maintained

Accounts Administration:

  • Customer/supplier account set up
  • Book keeping to Sage Accounts
  • Processing Company credit cards
  • Dealing with employee expenses
  • Raising Purchase Orders

Adhoc Tasks:

  • Health and Safety
  • Assisting Office Manager with projects

Job Specific Technical Skills:

Skills:

  • Positive, flexible, proactive attitude with a strong sense of responsibility to ensure the highest standards are met throughout the business
  • High attention to detail is essential
  • Able to communicate clearly and effectively at all levels with a confident telephone manner and excellent spoken and written English
  • A good level of numeracy ‐ experience of basic accounts is desirable
  • Good IT skills and proficiency with Microsoft Office packages: Outlook, Word, Excel and PowerPoint
  • Ability to establish and maintain effective administrative processes
  • Excellent time management skills, ability to prioritise and organise their own
    workload
  • Calm, organised and able to work well within a team
  • Ability to work unsupervised and using initiative
  • Ability to learn new information / skills and be able to put into practice quickly
  • Good interpersonal skills
  • Being responsible and accountable for the work you do

Minimum Requirement:

  • Previous office administration experience essential (ideally a minimum of 3 years)
  • Microsoft Office 2010 or above with demonstrated Excel, Word and Outlook
  • Educated to A Level or equivalent standard
  • 5 GCSEs at Grade C or above including Maths and English
  • Due to the location of the office, a car is essential
